Reporting to the Vice President, Clinical Services (VP), the Executive Assistant (EA) provides vital administrative support to the VP by ensuring the smooth operation of the VP’s office. The role involves managing the VP’s calendar, scheduling meetings, and handling day-to-day administrative tasks, such as responding to emails and phone calls, printing and copying documents, and coordinating logistics for meetings, events, and appointments. The EA also drafts and organizes correspondence, reports, and presentations, while assisting with project management to ensure that deadlines and deliverables are met.
In addition, the EA acts as a liaison between the VP’s office and both internal teams and external stakeholders, maintaining professionalism and discretion when managing sensitive information. The role includes coordinating travel arrangements and itineraries for the VP, managing expense reports, and supporting both internal and external events. The EA also plays an important role in maintaining organizational documents on various electronic platforms and complying with records retention policies.
Qualifications, Education, Experience
The ideal candidate will have a post-secondary diploma in Business Administration or a related field, along with 3-5 years of office administration experience, preferably in a senior management setting. Strong organizational, time management, and communication skills are essential, along with the ability to handle multiple tasks under pressure. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and virtual meeting platforms (e.g., Teams) is required. Familiarity with healthcare settings is an asset. This role demands a high level of discretion, attention to detail, and professionalism in all interactions.
