JOB SUMMARY

Permanent Part Time – FTE 0.50 – 38.75 hours biweekly – Kensington Village Campus

In accordance with the Shepherd’s Care Foundation philosophy and mission statement, the Volunteer Coordinator reports to the Vice President of Mission Effectiveness. The Volunteer Coordinator position will enhance resident programs through the services of community volunteers. There is extensive involvement with managers, residents, family members and visitors. The goal is to ensure that SCF is always staffed with the best most reliable volunteers who are correctly utilized for the fulfillment of the mission.

KEY RESPONSIBILITIES

  • Responsible for ongoing recruitment, interviewing, screening, orientation, developing assignments and education for volunteers, as well as dismissal;
  • Receives requests for volunteer services from the departments and matches voluntary services to the needs;
  • Maintains open communication and ongoing informal evaluation with the volunteers and their assigned department;
  • Provides ongoing encouragement, support, recognition, guidance and direction to volunteers and user departments for mutual effectiveness;
  • Arranges and hosts volunteer recognition, both formal and informal;
  • Maintains membership and active participation in relevant organizations, networking with colleagues;
  • Participates in Mission Effectiveness team and other departments as required;
  • Maintains role of liaison and public relations with sponsoring churches, as well as other community churches and organizations;
  • Keeps informed of current trends and issues in the field of volunteerism through personal and professional education and development opportunities, providing input to administration;
  • Provides input to volunteer budget;
  • Sources and recruits’ volunteers through various techniques (databases, e-mail, social media etc.);
  • Keeps detailed records of volunteers’ information, assignments and volunteer hours;
  • Able to travel to multiple sites and be available at site level;
  • Demonstrates and communicates a strong commitment to the mission, values and beliefs of the Shepherd’s Care Foundation, carrying out all responsibilities in courtesy, caring and respect for residents, families, visitors, medical staff, co-workers, supervisors, and other members of the team;
  • Knows to assess work needs, prioritize and adapt to changing routines;
  • Applies excellent observation skills, determines urgency or reportable incidents;
  • Demonstrates excellent teaching skills with volunteers, family members and staff;
  • Provides leadership in a collaborating, empowering and constructive manner;
  • Generate memos, emails and monthly reports; and
  • Perform other related duties as assigned.

QUALIFICATIONS/EDUCATION/EXPERIENCE

  • High school diploma supplemented by secretarial, word processing and computer application training is essential.
  • Proficient in MS Office (MS Word, Excel, PowerPoint, etc.)
  • Working knowledge of office equipment printers, laminators, photocopier, and scanner.
  • Formal training in Volunteer Management and/or equivalent education and /or experience an asset.
  • Three years’ experience as a Volunteer Coordinator or other positions that have involved customer service are an asset.
  • Experience in using a Volunteer software program is an asset (Better Impact, Volunteer Reporter).
  • Experience working in geriatrics is an asset.

KNOWLEDGE, SKILLS, and ABILITIES

  • Possesses tact, sound judgment and the ability to relate well with people, especially the elderly;
  • Attention to detail and problem solving skills; and
  • Excellent time management skills and ability to prioritize work.
