About the Unit Clerk Opportunity

In accordance with the Shepherd’s Care Foundation philosophy and mission statement the Unit Clerk reports to the Director of Care and/or Registered Nurse in Charge.  The Unit Clerk is a combined clerical/receptionist position that coordinates the day to day activities of the nursing unit.  There is extensive involvement with employees, residents and family/visitors.  A sound knowledge of nursing unit procedures, excellent customer service and excellent organizational skills are required to carry out the broad variety of duties.  Provides support to residents, their family and visitors in an environment that enables independence, safety, dignity and high quality care to the resident’s well being.

KEY RESPONSIBILITIES

  • Acts as a receptionist for the nursing units; greets, screens and directs visitors; receives and distributes flowers, delivers mail or packages for residents; page call bells, page door alarms and stairwell alarm; answers the telephone; and relays messages and transfers calls.
  • Assists in scheduling of resident care conferences and communicates this information to all concerned.
  • Assembles and maintains standard forms for residents charts.
  • Keeps records of dental visits, weights, BP, pulse, annual physical examination and routine lab schedules.
  • Promotes and participates in meeting resident needs through programming/activities, by ensuring residents are on schedules and are on time for their appointments (i.e. doctor, OT/PT/RT and hairdresser appointments).  Will arrange transportation for residents as necessary.
  • Completes requisitions for the lab, and notifies Dynacare Labs for pickup.  Accompanies and assists lab staff when required.
  • May assist in portering residents if required.
  • Ensures the residents’ equipment and property is properly labeled and in good repair (e.g. wheelchair, clothing, eye glasses, dentures, etc.).
  • Informs the appropriate personnel of the residents perceived or expressed needs.
  • Prepares and distributes written communication including photocopying, typing and faxing as required.
  • Maintains up-to-date lists for audits such as restraints, oxygen or incontinent supplies.
  • Is responsible for the time sheets on the nursing unit(s).
  • Requisitions supplies, forms, equipment, and maintenance repairs.
  • Responsible for maintaining and storing supplies and small equipment inventories.
  • Communicates with other departments regarding resident needs.
  • Keeps documentation file up to date for appointments i.e. lab work, denturist visits, podiatrist visits, hearing aid and specialist appointments.
  • Contacts families regarding residents’ needs (e.g. clothing etc.) and appointments.
  • Collects and files all documentation for medical records.
  • Distributes mail to residents, and reads cards and letters to residents when requested by resident.
  • Will replace the Scheduling Clerk and will call staff to replace vacant shifts.
  • Deliver Journal and Sun papers to residents if still needs doing.
  • Assists residents at nursing station with concerns, hearing aides, glasses, dentures, placing telephone calls, missing articles of clothing, snacks and hair dressing concerns.
  • Assists with family inquiries regarding appointments, resident needs and refer families to RN re: medication and medical status of resident.
  • Notify Medigas of any changes in oxygen equipment and record same.
  • Notifies Dietary Department re: diet changes, residents out, early lunch, etc.
  • Files residents’ binders.
  • Assists with podiatrist visits: pull podiatrist sheets from resident files and place notification sheet in resident mail box.
  • Places telephone calls for residents (if long distance – fill out forms).
  • Tidies nursing stations and conference rooms in a.m.
  • Picks up mail from Administration Office.
  • Fills out daily Census sheets and have RN sign.
  • Fills out clip board assignments for team I and team II.
  • Fills out ambulance transfer sheets as needed.
  • Updates Kardex with resident changes (i.e. Wanderguard application, new diets, changes in transfer status etc.).
  • Ensures all residents have name bands.
  • Keeps supply room and utility room tidy.
  • Delivers all supplies to the unit.
  • Assists with new admissions by filling out requisitions to other departments; bring up laundry marker iron; notify business office re: cable TV, laundry; prepare Kardex, towel bars, bathroom drawer, and mailbox with resident name; arrange hair appointment day, bath day and fill out Kardex.
  • Notifies family members when resident is next on the list for a private room.
  • Checks calendar daily.
  • Reads communication book daily.
  • Faxes abnormal lab reports to the appropriate physicians.
  • Ensures physicians read notes in “Doctors Book” when visiting.
  • Keeps residents charts tidy and thinned as needed.
  • Transfers lab work onto weekly lab sheets.
  • Transcribes monthly work onto the calendar.  E.g. glucometer checks, weights.
  • Promote a safe environment for residents, team and self.
  • Report unsafe conditions within the work environment. Take required action to decrease the risk of injury immediately and/or notifies the Director of Nursing Care and/or Registered Nurse in Charge of the concern.
  • Avoid unsafe work practices and provide feedback and support promptly to team members involved in unsafe working practices.
  • Utilize the reporting process for Employee Injury and Hazardous conditions and resident unusual incidents.
  • Actively participates in fire drills and understands fire, WHMIS, Musculo- skeletal injury prevention, and general safety procedures.
  • Demonstrate knowledge of and adhere to infection control policies and procedures.
  • Be accountable for personal education and development.
  • Actively participate in meetings, and inservices.
  • Identify ongoing learning needs for self to Education and Staff Development Coordinator, Director of Nursing Care and/or Registered Nurse in Charge as appropriate.
  • Attend relevant workshops, seminars and conferences and apply learning to workplace.
  • Demonstrates commitment to learning new skills, methods and ideas, and to broaden experience through work on projects and committees.
  • Attend mandatory training and education programs as required
  • Perform other related duties as assigned.

JOB SPECIFICATIONS/QUALIFICATIONS

  • High school diploma supplemented with a knowledge of medical terminology is necessary.  Unit Clerk course work is a definite asset.  Equivalent combinations of education or experience could be considered.
  • Knowledge of basic computer programs is essential.  Other computer software applications will be an asset.
  • Previous experience as a unit clerk, or other positions that have involved customer service are an asset.
  • Experience working with the elderly, chronically ill or the disabled is an asset.
  • Maintains confidentiality.
  • Ability to work as a member of a multidisciplinary team.
  • Good written/verbal communication skills are essential.
  • Excellent ability to asses work needs, prioritizes and adapt to changing routines.
  • Good body mechanics and transfer techniques.
  • Demonstrates a commitment to mission, values and beliefs of the Shepherd’s Care Foundation.
  • Demonstrates courtesy, caring and respect to residents, families, visitors, medical staff, co-workers, supervisors, and other members of the multidisciplinary team.
